District Governor's Official Visit

Purpose of the Official Visit

The District Governor makes at least one official visit to each club during the Rotary year to focus attention on important Rotary issues, to encourage Rotarians to participate in service activities, and to recognize the outstanding contributions of Rotarians in the district.Your Assistant Governor should be included in this visit.

Official Visit Program

The District Governor is the principal speaker for the official visit meeting. Please allow 20 minutes for the presentation. No other program should be scheduled. Follow your normal meeting routine but please monitor the timing of other meeting segments carefully to ensure adequate time for the District Governor's presentation. The District Governor will be happy to present Paul Harris Fellowships, induct new members, and honor Rotarian achievements. However, the time allocated for these ceremonies should be in addition to the program, not part of it.

Logistics

The District Governor will have a computer-aided PowerPoint presentation. The District Governor will bring a computer and projecting equipment. Please have the room arranged to facilitate such a presentation. Please provide a screen and a small table.

Introduction

The District Governor's introduction should be made by the Assistant Governor. The District Governor's biographical information, provided on the website or district directory may be used for this introduction.

Most Rotarians wear nametags at their meetings but in a few clubs they do not. Please be sure everyone wears a name tag for the official visit.

Pre- or Post- Meeting with Club Officers

The meeting with club officers before or after your regular meeting is an important element of the official visit. The participants, at minimum, are to include the President, President-Elect, and Secretary. Please invite and encourage your entire board to participate at your discretion. The time of the pre- or post- meeting is indicated on the Official Visit Schedule

The Governor will seek to review the "Governor's Citation of Excellence" and the "President's Citation" in the meeting as your club's plan is shared.

The District Governor's Spouse

The District Governor's spouse, Tony Foster, will accompany her when possible. Tony will not attend the pre- or post- meeting. A site-seeing tour of local sites of historic interest would be appreciated. Please contact your Assistant Governor to see if Tony will be coming.

Hospitality

No hospitality is expected outside the official visit. The District Governor is often on a very tight schedule. However, some clubs enjoy hosting a dinner or reception for the District Governor. If this is one of your club's traditions, please make arrangements with the District Governor far in advance. If several clubs are in the same geographic vicinity, you might consider a multi-club event.
